Highlight: Venue Managers must provide their clients with invoices if required by local legislation. While the type of invoice also varies depending on local legislation, since bookings are legal agreements between Venue Managers and clients, Venue Managers must issue them when required.
When a client books a venue, the booking becomes a legal agreement between them and the Venue Manager. As a result, due to legal reasons, only Venue Managers can issue invoices for their clients. Tagvenue can’t send invoices to clients for bookings made through Tagvenue. Tagvenue can provide receipts for proof of payment.
What about clients' invoices for bookings on Online Payments by Tagvenue?
Even when Tagvenue facilitates your client's payment, you still need to provide your clients with an invoice – either on paper, by Tagvenue messenger, or both if local legislation requires. This is because the booking agreement remains between the Venue and the client.
A few important details about invoices:
- Tagvenue holds no responsibility for invoicing and won’t send invoices for any booking to your client.
- Make sure any invoice you send as a Venue Manager to clients is issued in their name (or any other name agreed on with the guest).
What if I’m not VAT-registered?
Venue Managers must check whether or not they need to be tax-registered under local law. Where this isn’t required, they may need to issue non-tax invoices (or customer receipts).
Note: The point at which a client is charged may have tax implications for Venue Managers, so it’s important you understand how to handle VAT and local taxes.
What if I can only provide an invoice for the booking amount minus the commission?
No matter how Venue Managers receive the booking funds (from the client or via Tagvenue) the invoice for the client should always reflect the total reservation amount.
Even in cases where Tagvenue deducts its commission before transferring the remaining amount, Venue Managers are still required to issue an invoice for the total booking amount.
What if I can only provide an invoice under the name of Tagvenue since I receive the payment from Tagvenue?
As set out in the GDTs, Tagvenue only facilitates the payment for and on behalf of Venue Managers. Venue Managers are still the suppliers of the venue for the clients. Tagvenue does not (re)sell the venue. As a result, in a similar situation where the clients pay Venue Managers directly, they’ll have to issue a tax invoice or customer receipt where required by law.
